PortraitFlow Help

Image formats, sizes and download

Every portrait is available as a JPEG with background and as a cut-out PNG, in up to four customer sizes. Download individually or as a ZIP, file names and approval explained.

Last updated:

Two versions per portrait

Each portrait can have two edited versions:

VersionFormatProperties
With backgroundJPEGThe portrait in front of the new, consistent background. Standard version for website, badge and directories.
Cut outPNGThe person without background, on a transparent background. Use it to place the portrait on your own backgrounds or templates.

Both versions share a single approval by the employee. They are available in the portal and through the API.

Image sizes

  • PortraitFlow stores up to four image sizes in your customer account (e.g. a square or a portrait format in the dimensions of your systems).
  • When downloading in a customer size, the image is cropped. The section is aligned on the eye line so the face sits the same in all formats. JPEG and PNG are cropped identically; the PNG keeps its transparency.
  • Without a size you receive the edited image in full resolution.
  • The embedded colour profile (e.g. sRGB) is preserved so the colours match the original.
  • Need other sizes? Write to us at studio@portraitflow.ch.

Approval by the employees

An edited image is only ready for download once the person has approved it. After editing, they receive an email with a personal link. They can approve the image or state change requests; if needed, a retake is requested. Until approval, the download in the portal and through the API is blocked.

Download in the customer portal

  • Individually: per person, either in full size or in one of your image sizes.
  • As a ZIP: per project or across all projects, optionally per image size. Large ZIP files are built in batches so even projects with many employees can be downloaded reliably.
  • Via API: Your system takes over the images automatically. See API documentation.

File names

The files are named following this pattern:

{Firma}_{Projektnummer}_{Nachname}_{Vorname}_{Mitarbeiternummer}.jpg

For a download in a customer size, the dimensions are added, for example ..._MA-001_500x500.jpg. The cut-out PNG carries the same name with the extension .png.

Frequently asked questions

Why can’t I download an image yet?

An image is only available for download once the employee has approved it. Until then, the download is blocked.

What is the difference between JPEG and PNG?

The JPEG shows the portrait with a new background. The PNG is cut out and has a transparent background so you can place the portrait on your own backgrounds.

Which image sizes are available?

Up to four sizes that PortraitFlow stores in your customer account (e.g. square or portrait). If you need other sizes, write to us.

Are the images cropped?

In your customer sizes, yes: the section is aligned on the eye line, identical for JPEG and PNG. Without a size you get the image in full size.

How are the files named?

Following the pattern Company_ProjectNumber_LastName_FirstName_EmployeeNumber, with the dimensions added for customer sizes (e.g. _500x500).
