Overview

PortraitFlow is a service for consistent employee portraits: your employees upload a photo through a personal link, a photographer edits every image, and you receive the finished portraits for download or via interface. No photo shoot and no scheduling are needed.

The service is designed for companies with 20 to 2,000 employees. Hosting and data storage are with cloudscale.ch, a Swiss hosting provider.

Who does what?

RoleTasks
PortraitFlowSets up the account and project, edits every image personally (photographer), handles the invitations and delivers the portraits.
Your companyRegisters the employees (individually, via CSV or API), follows the progress in the customer portal and takes over the finished images.
EmployeesUpload their photo via the personal link and approve the edited image.

The process in six steps

  1. 01

    Register employees

PortraitFlow sets up your customer account and the project. Employees are registered one by one, via CSV import or through the API.

  2. 02

    Employees are invited

Each person receives a personal link by email, without an account and without a password. The link is valid until the project deadline; automatic reminders are possible.

  3. 03

The photo is taken and uploaded

Employees photograph themselves following guided instructions with good/bad examples. Alternatively, a photographer uploads an entire shoot at once.

  4. 04

    A photographer edits every image

Every portrait is edited personally: cutout, new background, fine retouching, in up to two variants. Regular projects and later additions are ready within a maximum of 5 business days.

  5. 05

    Employees approve their image

Via another personal link, employees review their edited image: they approve it or state change requests. If needed, a retake is requested.

  6. 06

You take over the finished portraits

Approved portraits are ready for download in the customer portal, individually or as a ZIP, in your image sizes. Alternatively, your system fetches them automatically through the API.

Employee statuses

In the customer portal and in the API, every person has a status showing the progress:

StatusMeaning
pendingPending: no photo has been uploaded yet.
uploadedPhoto received: editing is pending.
editedEdited: the finished image is available. It becomes downloadable once the person approves it.
retakeRetake requested: the person uploads a new photo.

Frequently asked questions

How long does editing take?

Regular projects and portraits submitted individually later are ready within a maximum of 5 business days.

Do employees have to create an account?

No. Each person works with a personal link from the email, without an account and without a password.

Do we need an on-site photo shoot?

No. Employees photograph themselves, from any location. Anyone who prefers to hire a photographer can also upload an entire shoot at once.

What if an employee is not satisfied?

The image is only released for download after the employee approves it. If the person objects, they state change requests, or PortraitFlow requests a retake.

Who invites the employees?

For contract customers, PortraitFlow triggers the invitation. In the free trial account you invite the (at most three) employees yourself with one click in the portal.
